Q.What will a billing system do for my practice?
A.Your primary concern is for a system to handle both patient and Insurance billing. This system should also generate practice management and accounting reports. The on-line MEDOCS Management System is designed to accomplish both tasks. Flexible billing frequency (weekly cycle statements) and daily insurance billing (paper and electronic claims available) are basic features of our system. Accounts Receivable agings, practice management reporting, capitation analysis and statistical reporting are designed to meet the needs of your practice. Custom reporting is also available, and simple reports are usually available at no charge.

Q.Who is responsible for hardware and software?
A.Practice Management is responsible for both. This allows you the security of "one stop shopping." It avoids the classic trap of physicians being caught between the software provider and the hardware provider; both blaming the other for problems. We provide 4 hour response time for repair or replacement of equipment as needed. Software updates have always been provided frequently and at no charge.

Q.Is your system user-friendly?
A.Very much so! Use of function keys navigation makes old style, menu-driven software obsolete. MEDOCS provides a "HELP" menu as well as on-screen prompts to guide you through our system.

Q.What training and support do you provide?
A. Six months unlimited onsite training is included, at no additional charge. After that, 2 onsite visits per month are included, as well as unlimited telephone support. Your Practice Management Client Support Specialist will continue to provide ongoing support as you learn our system through additional training and telephone consultations. The relationship developed between your and Practice Management staff members will form an integral part of a new-found confidence in your ability to manage your office under all conditions. And because we are local, you will have confidence in knowing that our support, both on-site and by telephone, is only minutes away.

Q.How do I migrate from my current billing system to the Practice Mangement service?
A. We are responsible for the entire migration process to our system. Practice Management will undertake to do a demographic or a full conversion in the shortest possible time.

Q.What equipment will I need?
A.Practice Management will arrange for the installation of all necessary equipment. This includes hardware, software, networking equipment Internet Service and installation...whatever is required.

Q.Can your system accommodate future expansion if I add a physician or a new location?
A.The MEDOCS system is designed to expand with your practice. You can add new physicians, facilities,locations, procedures and fee schedules with confidence.

Q.Does my office need to do a lengthy daily backup? What happens when a problem arises?
A.We perform a complete backup of your entire account each night, after normal business hours. For safety, we transfer this information to tape and store it off-site. It is retained on tape for approximately one month. We also keep a copy of all printed forms for 3 months. If a problem occurs with your data and a restore of your account is necessary, it is handled by Practice Management, usually before your office staff arrives for work.

Q.Do you offer electronic claims submission (ECS)?
A.Yes. We electronically transmit claims to Medicare (we are one of Medicare's original Blue Ribbon Group Members), Blue Shield as well as many PPO and indemnity plans, among others. Settlement time for payment on these claims is substantially improved. We are committed to expanding ECS to other third party carriers as they develop effective capability.

Q.Do you offer electronic remittance (ERR)?
A.Yes. We are able to electronically receive Medicare remittance at no charge. Posting time for your claims is substantially reduced. We are committed to expanding electronic remittance to other third party carriers as they develop effective capability. We are also able to provide this functionality with other carriers, at an additional cost.

Q.Does your system include scheduling?
A.Yes. The MEDOCS system scheduling module is very easy to use and will be tailored to your physician's personal schedule(s).

Q.What other services does your company offer?
A.We offer client seminars of various healthcare related topics. We re-educate our users when a new software release is implemented and we sponsor user meetings at no additional cost. We are also able to provide on-site hardware support and limited third-party application support (such as MicrosoftWord or Outlook). We can provide network setup and office wiring, as well as assistance with setting up Internet connectivity for your office.
